Please read these Terms and Conditions carefully before using our website, making a booking, purchasing a gift card, buying a membership or attending a session at OKI Sauna.

By using our website, making a booking or attending a session, you agree to these Terms and Conditions.

1. Who we are

OKI Sauna is operated by Oki Sauna and Wellness Limited.

In these Terms and Conditions, “OKI”, “we”, “us” and “our” refer to Oki Sauna and Wellness Limited.

“You”, “your” and “guest” refer to any person using our website, making a booking, purchasing from us or attending one of our sessions.

2. Our services

OKI provides sauna sessions, cold plunge access, private hire, memberships, gift cards, events and related wellness experiences.

Our facilities may include a sauna, filtered cold plunge tubs, changing space, outdoor seating, showers, on-site toilets, cafe services and other supporting facilities.

The exact facilities available may vary by session type, season, weather, site conditions and operational requirements.

3. Bookings

All sessions should be booked in advance through our website or approved booking platform.

When you make a booking, you are responsible for checking that the session type, date, time, location, number of guests and price are correct before completing payment.

Your booking is only confirmed once payment has been received and you have received a booking confirmation.

We reserve the right to refuse, cancel or amend a booking where necessary, including where there has been an obvious pricing error, operational issue, safety concern or misuse of our booking system.

4. Payment

Bookings must be paid for in advance unless agreed otherwise in writing.

Prices are shown on our website or booking platform and may change from time to time.

All prices are shown in pounds sterling. Prices include VAT where applicable.

We use third-party payment and booking providers to process payments. By making a booking, you may also be subject to their terms and conditions.

5. Arrival and late arrivals

Please arrive a few minutes before your booked session so you have time to check in, change and get ready.

Your session starts and finishes at the time shown in your booking confirmation.

If you arrive late, your session will still finish at the original booked end time. We cannot extend sessions for late arrivals.

If you arrive too late for us to safely admit you or your arrival disrupts the session for other guests, we may refuse entry and no refund or credit will be given.

6. Shared sessions

Shared sessions are booked by individual spaces. You may be sharing the sauna, cold plunge area and outdoor space with other guests.

Please be considerate of others at all times.

If you would like exclusive use of the sauna, please book private hire.

7. Private hire

Private hire gives your group exclusive use of the sauna during your booked time, subject to the terms of your booking.

The lead booker is responsible for making sure all members of their group are aware of these Terms and Conditions, the sauna rules, health guidance and any waiver requirements.

Guest numbers must not exceed the agreed capacity.

Private hire does not give permission to bring alcohol, external catering, decorations, amplified music, photographers, commercial content teams or additional suppliers unless agreed with OKI in writing before the session.

8. Cancellations and changes by you

Shared sauna sessions

If you can no longer attend a shared session, you may cancel or move your booking up to 24 hours before your session, subject to availability.

Cancellations or changes made less than 24 hours before your session are non-refundable.

Missed sessions and no-shows are non-refundable.

Where a credit is offered, it may be issued as account credit, a booking credit or gift card code, depending on our booking system.

Private hire

·  Cancel more than 14 days before your booking: full refund or credit.

·  Cancel between 7 and 14 days before your booking: 50% refund or credit.

·  Cancel less than 7 days before your booking: no refund.

We may, at our discretion, offer a reschedule where operationally possible, but this is not guaranteed.

Events, workshops and special sessions

Events, workshops, collaborations and special sessions may have their own cancellation terms. These will be shown at the point of booking where different from our standard policy.

9. Cancellations and changes by OKI

We may need to cancel, move, shorten or amend a session due to weather, safety concerns, staff illness, equipment issues, water quality concerns, site conditions, power or water failure, maintenance, emergency situations or circumstances outside our control.

If we cancel your session, we will offer you a refund, credit or the option to move your booking.

We are not responsible for travel costs, parking costs, accommodation costs or other expenses you incur in connection with a cancelled or amended session.

10. Weather

OKI is an outdoor coastal sauna experience. Sessions usually go ahead in rain, wind, cold weather and normal coastal conditions.

We will only cancel or amend sessions where we believe conditions are unsafe or unsuitable.

Please dress appropriately for the weather before and after your session.

11. Health and safety

Using a sauna and cold plunge involves exposure to high heat, cold water, wet surfaces and outdoor conditions. These carry inherent risks.

By attending a session, you confirm that you are in suitable health to take part and that you will use the facilities responsibly.

You should not use the sauna or cold plunge if you feel unwell, are injured, have an uncovered wound, have a contagious condition, have recently experienced diarrhoea or vomiting, or have been advised not to use heat or cold exposure.

You should speak to a medical professional before using the sauna or cold plunge if you are pregnant, have a heart condition, high or low blood pressure, circulation problems, respiratory conditions, epilepsy, diabetes, Raynaud’s, a recent injury or surgery, or any other medical condition that could be affected by heat, cold exposure or sudden temperature change.

You must leave the sauna or cold plunge immediately if you feel dizzy, faint, sick, short of breath, overly hot, overly cold, in pain or uncomfortable.

You are responsible for listening to your body and taking breaks when needed.

12. Waiver

All guests may be required to complete a health and safety waiver before using the sauna or cold plunge.

If you do not complete the required waiver, we may refuse entry and no refund will be given.

For group bookings, the lead booker is responsible for making sure all guests complete any required waiver before attending.

13. Sauna rules

For your safety and the comfort of others, you must follow these rules:

·  Swimwear must be worn in shared areas.

·  Bring two towels: one towel to sit on in the sauna and one dry towel for after your session. Towels are not provided and towel hire is not available.

·  Sit on a towel in the sauna.

·  Do not stay in the sauna longer than feels comfortable.

·  Take regular breaks.

·  Drink water before and after your session.

·  Do not touch the stove, stones, flue, heater, vents or hot surfaces.

·  Do not pour water on the stones unless OKI staff confirm it is permitted.

·  Do not add oils, scents, herbs, products or any other substance to the sauna or water.

·  Do not bring glass into the sauna, plunge or outdoor session area.

·  Do not smoke or vape in the sauna.

·  Do not behave in a way that risks your safety or the safety of others.

·  We reserve the right to remove anyone who does not follow the sauna rules.

14. Cold plunge rules

Cold plunge use is optional.

If you choose to use the cold plunge, you must do so carefully and at your own pace.

You must:

·  Shower before entering the cold plunge where shower facilities are available.

·  Enter and exit slowly and carefully.

·  Start with short exposure, especially if you are new to cold water.

·  Keep your head above water.

·  Do not jump, dive or splash.

·  Do not submerge your head.

·  Do not use the plunge if you feel unwell, dizzy, excessively cold or uncomfortable.

·  Do not introduce soaps, oils, lotions, mud, sand, bodily fluids or any other substances into the water.

·  We may close the plunge tubs at any time for safety, water quality, maintenance or operational reasons.

15. Water hygiene

To protect the health and safety of all guests, you must not use the cold plunge if:

·  You have had diarrhoea or vomiting in the last 48 hours.

·  You have an infectious illness.

·  You have an uncovered open wound.

·  You have a skin infection or contagious condition.

·  You are unable to follow the plunge rules safely.

·  You must not contaminate the water in any way.

·  Failure to follow water hygiene rules may result in removal from the session without refund.

16. Alcohol, drugs and smoking

You must not use the sauna or cold plunge if you are under the influence of alcohol, recreational drugs or any substance that may affect your judgement, coordination or ability to use the facilities safely.

Alcohol is not permitted before or during sauna and cold plunge use.

We reserve the right to refuse entry or remove anyone who appears to be under the influence of alcohol or drugs. No refund will be given.

Smoking and vaping are not permitted inside the sauna, changing areas, plunge area or any other restricted part of the site.

17. Age restrictions

Shared sauna sessions are for guests aged 16 and over.

Guests aged 16 or 17 must be accompanied by a responsible adult aged 18 or over.

Children are not permitted in standard shared sessions.

Private family sessions may be considered by prior arrangement only. Please contact us before booking.

The supervising adult is responsible for the behaviour, safety and wellbeing of any young person in their care.

18. Accessibility

We want OKI to be as welcoming as possible.

Because the site includes outdoor areas, wet surfaces, sauna steps, changing facilities and plunge tubs, accessibility may vary depending on individual needs.

Please contact us before booking if you have any accessibility requirements, mobility concerns or support needs. We will do our best to explain what is possible and help you decide whether the session is suitable.

19. Behaviour and conduct

All guests must behave respectfully towards staff, other guests, neighbours and the local environment.

We do not tolerate abusive, aggressive, discriminatory, unsafe, disruptive or inappropriate behaviour.

We reserve the right to refuse entry or remove anyone from the site where we believe their behaviour is unacceptable or unsafe. No refund will be given.

20. Personal belongings and lost property

You are responsible for your own belongings while on site.

Please do not bring valuables unless necessary.

OKI is not responsible for lost, stolen or damaged personal items, except where caused by our negligence.

Lost property may be kept for a limited period, but we cannot guarantee that items will be found or stored.

21. Photography and filming

You may take photos of yourself or your own group, provided this does not disturb other guests.

You must not photograph or film other guests without their permission.

Commercial photography, filming, influencer content, press shoots or brand content must be agreed with OKI in writing before your session.

We may take photography or video for OKI marketing only where appropriate consent has been obtained.

22. Sea swimming

Sea swimming is not supervised by OKI.

If you choose to swim in the sea before or after your session, you do so entirely at your own risk.

You are responsible for assessing sea conditions, tides, weather, your swimming ability and your own safety.

OKI does not provide lifeguarding, sea swimming supervision or open water safety advice.

23. Cafe, food and drink

Cafe opening times may vary by day, season, weather and demand.

Food and drink purchased from the cafe must not be taken into the sauna or plunge area unless approved by staff.

Please contact us before bringing outside food or drink to private hire or events.

Alcohol is not permitted before or during sauna and cold plunge use.

24. Memberships

Memberships, if available, are subject to the specific membership details shown at the point of purchase.

Unless stated otherwise:

·  Memberships are for the named member only.

·  Memberships cannot be shared or transferred.

·  Memberships renew monthly until cancelled.

·  Membership credits must be used within the relevant membership period.

·  Unused credits do not roll over unless stated otherwise.

·  Memberships are non-refundable once the membership period has started.

·  Extra member discounts apply only to the member’s own bookings unless stated otherwise.

·  Bookings made using membership credits are still subject to our standard cancellation policy.

·  You may cancel a rolling monthly membership before your next renewal date through your account or by contacting us.

·  Membership pause requests may be considered at our discretion. Any pause request should be made by email at least 7 days before the requested pause start date.

·  If you cancel your membership, any future bookings made using membership credits may be cancelled if they fall outside your paid membership period.

25. Gift cards

Gift cards are valid for 12 months from the date of purchase unless stated otherwise.

Gift cards cannot be exchanged for cash.

Gift cards are non-refundable, except where required by law.

If a booking made using a gift card is cancelled in line with our cancellation policy, the credit may be returned to the original gift card or issued as booking credit.

We reserve the right to refuse any gift card that appears to have been copied, tampered with, misused or obtained fraudulently.

26. Promotions and discounts

Promotions, discount codes and special offers are subject to availability and may be withdrawn at any time.

Promotions cannot be combined unless stated otherwise.

Discounts cannot be applied retrospectively to previous bookings.

We reserve the right to refuse or cancel a promotion where we believe it has been misused.

27. Website use

You agree to use our website only for lawful purposes.

You must not misuse the website, attempt to gain unauthorised access, introduce viruses or harmful code, scrape content, interfere with bookings, or use the website in a way that could damage OKI or affect other users.

We do our best to keep information on the website accurate and up to date, but we cannot guarantee that it will always be complete, current or error-free.

We may update, suspend or remove any part of the website at any time.

28. Intellectual property

All content on the OKI website, including text, images, graphics, logos, design, layout, brand assets and other material, belongs to OKI or our licensors unless stated otherwise.

You may view and use the website for personal, non-commercial use only.

You must not copy, reproduce, publish, distribute, modify, commercially exploit or use any OKI content without our written permission.

29. Third-party links and services

Our website may include links to third-party websites, booking platforms, payment providers, maps, social media platforms or other services.

We are not responsible for the content, availability, security, privacy practices or terms of any third-party website or service.

30. Liability

Nothing in these Terms and Conditions limits or excludes our liability for death or personal injury caused by our negligence, fraud, fraudulent misrepresentation, or any liability that cannot legally be limited or excluded.

Subject to the above, OKI is not responsible for:

·  Losses that were not reasonably foreseeable.

·  Losses caused by your failure to follow our rules or guidance.

·  Losses caused by you providing incorrect booking information.

·  Loss, theft or damage to personal belongings except where caused by our negligence.

·  Travel, parking, accommodation or other costs linked to cancelled, moved or amended sessions.

·  Events outside our reasonable control.

·  You are responsible for using the sauna, cold plunge and site facilities sensibly and in line with these Terms and Conditions.

31. Events outside our control

We are not liable for delay, cancellation or failure to provide services caused by events outside our reasonable control.

This may include severe weather, storms, flooding, fire, power failure, water failure, equipment failure, illness, staff shortage, health and safety incidents, government restrictions, site access issues, emergency services activity or other circumstances beyond our control.

Where possible, we will offer a refund, credit or reschedule if we need to cancel your session.

We process personal information in line with our Privacy Policy.

33. Changes to these Terms and Conditions

We may update these Terms and Conditions from time to time.

The latest version will be published on our website.

The Terms and Conditions in force at the time of your booking will apply to that booking, unless a change is required by law or for safety reasons.

34. Governing law

These Terms and Conditions are governed by the laws of England and Wales.

Any disputes will be subject to the courts of England and Wales.
